Office AdministratorEpsom, Surrey Salary: £25,000 – £32,000 (DOE) We are seeking a highly organised, proactive Office Administrator to support our small and friendly team in Epsom. This is a varied, hands-on role suited to someone who thrives in a busy environment, enjoys managing multiple priorities, and takes pride in delivering exceptional administrative and customer support. You will act as a central point of contact for colleagues, clients, and suppliers, providing calm, professional, and efficient assistance across office operations, finance administration, facilities coordination, and team engagement. Key Responsibilities Team Support Serve as the first point of contact for incoming calls and enquiries, handling all communications professionally and efficiently. Manage shared inboxes, prioritising messages and maintaining excellent customer service standards. Support the aftersales team with diary management, scheduling, and tenant queries, working closely with the Aftersales Manager to ensure smooth communication. Liaise with site managers, surveyors, and external partners to coordinate meter installations and disconnections, providing timely updates and ensuring clear communication throughout. Financial & Administrative Support Process supplier invoices and complete data entry using Excel. Handle supplier and creditor queries by phone and email, maintaining positive relationships. Administer company credit card transactions. Manage billing correspondence and maintain accurate financial and utility records. Office Coordination & Compliance Maintain training records and update the company training matrix. Oversee company fleet administration, including lease renewals, MOTs, servicing, and insurance. Support workplace compliance activities, including fire safety coordination, and act as a Fire Warden. Carry out general office duties such as holiday tracking, ordering supplies, filing, scanning, distributing post, and preparing documents. Events & Team Engagement Plan and coordinate company social events, team activities, and hospitality events to support a positive team culture. About You Highly organised, detail-oriented, and self-motivated. Able to manage multiple tasks and work confidently to deadlines. A strong communicator with a professional and friendly approach. Experienced in office administration and facilities coordination. Proficient in Microsoft Office Suite and Excel. A collaborative team player with a calm, proactive attitude.
